Serving event organizers in sectors like festivals, hospitality, nightclubs, and stadiums, AnyKrowd is focused on enhancing visitor experiences while simplifying event operations.
As the company prepared to scale fast and expand internationally after raising 4M€ growth capital, they needed to address key bottlenecks in their customer onboarding process to maintain efficiency and a high level of service.
The Challenge
AnyKrowd’s existing onboarding process was fragmented and relied on multiple platforms, including Odoo, Google Drive, and Notion. This resulted in several challenges:
- Sub-optimal customer experience: The improvised customer facing solution with Google Drive and Notion was hard to use, leading to confusion and frequent back-and-forth communication.
- Excessive manual work: Internal teams spent a lot of time reviewing incomplete forms, verifying file uploads (e.g., event floor plans, voucher configurations), and moving data across multiple tools.
- Longer than expected onboarding: Onboardings often took > 4 weeks, which was a critical bottleneck to scale the company further.
- Tough to track: With project-related information scattered across different platforms, it was difficult to track progress or provide transparent visibility for customers and internal teams.
- Integration and scalability concerns: AnyKrowd aimed to integrate their internal systems (particularly Odoo) with a new platform to prepare for expected growth and expansion into new markets.
The Solution: Implementing Valuecase

Clients can easily upload designs (e.g., RFID cards, mobile app screens) and floor plans directly to the onboarding portal, eliminating scattered emails.
Automations via Make.com
AnyKrowd set up automations to create new Valuecase Spaces and push data directly from and to Odoo. This reduces manual data entry and keeps everyone aligned on current project statuses.
Customization & Personalization
The onboarding journeys are tailored to each event’s unique needs, providing a more personal touch while ensuring consistency.
